Director of Executive Operations

Keller Executive Search · Oklahoma City, OK

Found in last night's run on Keller Executive Search's Workable board.

About the role

Keller Executive Search is partnering with a steadily growing healthcare organization to appoint a Director of Executive Operations. This newly created, executive-facing role will serve as the trusted operational right hand to two owner-principals, translating their priorities into coordinated action across the business.

This is a Chief of Staff-level mandate, not a traditional administrative support position. The successful candidate will run the executive operating rhythm, strengthen performance visibility, drive cross-functional commitments to completion, and communicate the principals' direction accurately within clear decision-making guardrails. The role combines strategic coordination with hands-on ownership of reporting, meeting preparation, priority management, and selected executive support activities.

This is an opportunity to build an executive operations function and shape its processes during the first 90 days. Success will give the principals greater capacity to focus on long-term strategy, growth, acquisitions, and partnerships while ensuring that important initiatives remain aligned, timely, and accountable. The position offers meaningful autonomy, close exposure to ownership, and scope that can expand as trust and organizational needs develop.

Key Responsibilities

  • Establish and run the weekly leadership operating rhythm, including agendas, decision records, action owners, deadlines, and escalation paths
  • Translate the principals' priorities and decisions into coordinated cross-functional execution
  • Track leadership commitments, address blockers, and drive work to verified completion without relying on formal authority
  • Own priority calendar management, communication triage, meeting preparation, and executive follow-through
  • Produce weekly revenue, activity, and KPI dashboards and consolidate departmental reporting into a clear executive view
  • Prepare monthly review packages and proactively identify anomalies, risks, dependencies, and delayed initiatives
  • Draft concise internal communications that accurately reflect each principal's voice and intent
  • Serve as a discreet liaison among the principals, functional leaders, employees, and selected external stakeholders
  • Lead approved special initiatives from definition through implementation and measurable completion
  • Bridge coordination gaps between functions while respecting established leadership decision rights
  • Evaluate vendors, provide practical recommendations, and oversee implementation following approval
  • Represent the principals in selected meetings and communications within clearly delegated authority
  • Design and embed practical operating processes, role boundaries, and escalation rules during the first 90 days

Additional Information

  • Full-time, permanent, exempt position
  • Onsite in Oklahoma City, Oklahoma, Monday through Friday during regular business hours
  • Approximately 25% travel
  • No relocation assistance is available
  • The position reports directly to two owner-principals and has no direct reports
  • Keller Executive Search is managing the recruitment process on behalf of its client

Requirements

Essential

  • Bachelor's degree
  • At least 5 years of substantive experience in Chief of Staff, executive operations, management consulting, executive business partnership, or a comparable executive-facing role
  • Demonstrated ownership of cross-functional organizational execution beyond traditional administrative support
  • Proven discretion, trustworthiness, and integrity when handling sensitive executive, commercial, financial, or talent information
  • Precise written and verbal communication, including experience drafting communications for senior leaders
  • Evidence of driving executive commitments to completion and holding senior stakeholders constructively accountable
  • Sound judgment within delegated authority, including knowing when to act, clarify, or escalate
  • Ability to navigate competing priorities, build trust with contrasting personalities, and influence leaders without direct authority
  • Experience producing executive KPI dashboards, consolidated reports, or performance review packages
  • Working proficiency with Microsoft 365, Power BI, Power Automate, Copilot, or comparable reporting and workflow tools
  • Professional working proficiency in English
  • Current residence in the Oklahoma City area, availability for onsite work Monday through Friday, and willingness to travel approximately 25%

Preferred

  • Experience establishing or materially improving an executive operating cadence, accountability system, or Chief of Staff function
  • Experience in healthcare, medical devices, healthcare distribution, or another sales-driven organization
  • Experience supporting acquisitions, new business launches, vendor implementations, or external partnerships
  • MBA or equivalent advanced business experience

Ideal Candidate Profile

You are a low-ego, highly trusted execution partner who is comfortable carrying significant responsibility without seeking personal prominence. You communicate with precision, build trust across contrasting personalities, act decisively within agreed guardrails, and gain satisfaction from making senior leaders and the wider organization more effective.

Benefits

  • Annual base salary of USD 120,000–125,000, commensurate with experience
  • Quarterly KPI-based bonus and annual company-performance bonus opportunities
  • Standard company benefits package
  • 5.23 hours of paid time off accrued every two weeks
